# Invoice vs receipt: what is the difference?

By Roy van Oeteren, founder · Updated October 17, 2026 · 5 min read

An invoice is a request for payment: you send it before you are paid, and it says what the client owes and by when. A receipt is proof of payment: you send it after you are paid, and it confirms that the money arrived.

Put simply, the invoice comes first and the receipt comes last. Many small businesses only send invoices and mark them paid. That can be enough, but there are times when a separate receipt is worth sending.

## Invoice vs receipt at a glance

| | Invoice | Receipt |
| --- | --- | --- |
| Purpose | Asks for payment | Confirms payment |
| When | Before or at the time of billing | After the money is received |
| Who sends it | The seller | The seller |
| Has a due date | Yes | No |
| Shows amount owed | Yes | No, it shows the amount paid |
| Shows payment method | Sometimes, as instructions | Yes, as what was used |
| Used by the buyer to | Approve and pay | Record the expense |

## What an invoice does

An invoice starts the payment process. It lists the goods or services, the price, the due date and the payment details. It also creates a record that you are owed money, which is what your accounting uses to track open balances. Read how to [write one](https://jiffy-invoice.com/guides/how-to-write-an-invoice) if you have not yet.

## What a receipt does

A receipt closes the loop. It states that a payment was made, when, how much, and by what method, such as card, check or bank transfer. Your client keeps it as proof of purchase for their expense records, for a return or warranty, and for tax time.

## When you need only an invoice, and when you need both

When in doubt, send a receipt. It costs a minute and prevents a dispute.

- Invoice only: many online and freelance jobs. You send the invoice, the client pays, and you mark it “Paid”. A paid invoice with the payment date shows everything a receipt would.
- Both: when the client asks for a receipt, when you take cash or a check, when you take a deposit, or when the payment was in several parts and each needs a record.
- Receipt only: a retail sale or a payment on the spot, where no one needed an invoice first.

## How they work together for your books

Your invoice number links the two. Put the invoice number on the receipt, as in the example, so anyone can match the payment to the invoice. In your records, each invoice should end up with a payment date and a way it was paid.

For taxes, invoices show what you earned and receipts show what you spent. When you buy supplies for your business, you keep the receipt from the seller. When a client pays you, the invoice (marked paid) or your receipt is the matching record. Ask your accountant how they want them filed.

## Receipt, invoice or something else?

Two similar documents cause confusion. A quote or estimate gives a price before the work, and nobody owes anything yet; see [invoice vs estimate](https://jiffy-invoice.com/guides/invoice-vs-estimate). A proforma invoice is a preliminary invoice used before delivery, often for customs or to ask for a prepayment; see [what a proforma invoice is](https://jiffy-invoice.com/guides/proforma-invoice). Neither is a receipt.

## Common mistakes with invoices and receipts

If you invoice with software, a paid status and a payment date usually do the job of a receipt. In Jiffy you can register a payment by hand, for example when a client pays by bank transfer, and the invoice shows what was paid and what is still open. You can also start with a simple invoice from the [free invoice generator](https://jiffy-invoice.com/invoice-generator).

- Sending a receipt before the money has really arrived. Wait until the payment has cleared, especially for checks and bank transfers.
- Calling an unpaid invoice a receipt. A client may book it as paid and your payment never comes.
- Leaving the invoice number off the receipt, so the payment is hard to match later.
- Forgetting a partial payment. If a client pays half, record it on the invoice and show the balance that is left.
- Not keeping a copy. Keep every invoice and receipt you send, in one place, for your books and for any dispute.

## Questions people ask

### Is an invoice proof of payment?

Only if it is marked paid and shows the date and method of payment. An unpaid invoice is a request, not proof.

### Can I use a paid invoice as a receipt?

In most cases, yes. Add the payment date, the amount received and the method, and mark it paid. If your client asks for a document called a receipt, make one.

### Do I have to give a receipt?

It depends on the sale and your state. For many service businesses there is no general rule, but customers are entitled to ask, and giving one is good practice. Check your state's rules.

### What should a receipt include?

Your business name, the date, the amount paid, the payment method, what it was for, and the related invoice number.
