Free plumbing invoice template

A plumbing invoice has to explain a bill that often feels like a surprise: a service call, a couple of hours of labor and parts that were not on anyone's mind that morning. The template below is a real invoice with those lines already in, so you swap in your own numbers instead of starting from a blank page.

Fill it in right here, save it as a PDF and email it before you are back in the truck. There is no account and nothing you type leaves your browser. Quoting a bigger job first? Use the free quote generator.

    What goes on it

What to put on an invoice for plumbers

    • Your license number and your business name, address and phone, because many states and customers expect to see the license on paperwork
    • The service address if it differs from the billing address, and the date the work was done
    • The service call or trip charge as its own line, so the labor line only shows time on the job
    • Labor with hours and hourly rate, or the flat rate you quoted for the job
    • Parts and materials itemized with quantity and price, such as valves, supply lines, fittings and a water heater
    • Any permit or disposal fee you pass on, and the sales tax on parts if your state charges it
    • Your warranty on labor and parts in one sentence, and how to pay (card, Apple Pay or bank transfer)

    How you bill

    How plumbers bill

Most residential plumbers use one of two models. Time and materials means a trip charge, an hourly rate and parts at cost plus a markup. Flat rate means a price per task, such as unclogging a drain or replacing a toilet, written down before you start so the customer knows the number. Flat rate is easier to explain at the door and tends to earn more on fast jobs. Time and materials is safer on jobs where you cannot see what is behind the wall.

Emergency and after-hours calls usually carry a higher call-out fee. Put it on its own line with a short label such as "After-hours call-out" so nobody argues about it later. Bigger jobs like a repipe or a water heater swap are normally quoted first and paid in two steps: a deposit for materials, then the balance on completion. A signed estimate makes that easy to turn into the final invoice.

    Tips to get paid faster

    1. Hand over or send the invoice before you leave the property. The longer it waits, the more likely it lands under a pile of mail.
    2. Write every part you used on its own line. Customers push back on one big "materials" number, but rarely on a $24 shutoff valve.
    3. Photograph the finished repair and old parts if they matter, and mention the photos in your notes in case a dispute comes up.
    4. Offer card and bank transfer so a homeowner can pay from the driveway. A payment link on the invoice does that, see online payments.
    5. Set a due date of 15 days or less on residential work and send a polite reminder the day after it passes.

    Watch out

    Common invoice mistakes

    • Mixing the quoted flat rate with extra labor hours on the same job without saying why the price changed
    • Leaving out the service address on a landlord or property manager invoice, so the bill cannot be matched to a unit
    • Forgetting to state the warranty, which is exactly what the customer looks for when something leaks again

    FAQ

    Questions

What should a plumbing invoice include?

Your business details and license number, the customer and service address, the date, an itemized list of the service call, labor and parts, any tax, the total and how to pay. A warranty line is worth adding.

Should I charge a flat rate or hourly?

Both work. Flat rate suits repeatable tasks where you know the time. Hourly plus parts suits repairs with unknown scope. Whichever you use, show it as clear lines on the invoice.

Is this plumbing invoice template really free?

Yes. You fill it in on this page, download the PDF and send it. No account, no watermark on the pages, and nothing you type is sent to a server.
