Free auto repair invoice template
An auto repair invoice is also a record: the car, the mileage, what was wrong, what was done and what was replaced. Customers keep it for warranty claims and resale, and some states require specific fields. The template below has the vehicle block and the parts and labor lines of a typical brake job.
Fill it in on this page, save the PDF and email it to the customer. No account, and nothing leaves your browser. Mobile mechanic? The same layout works well on a phone, so you can invoice from the driveway.

What goes on it
What to put on an invoice for auto repair shops
- The vehicle: year, make, model, VIN, license plate and mileage in
- The customer's complaint and the work performed, in plain words
- Parts by name with quantity and price, noting new, remanufactured or used
- Labor in hours at your shop rate or as a flat rate per job
- Shop supplies, environmental and disposal fees, shown as their own lines
- Sales tax on parts as required in your state
- Your parts and labor warranty, in time and miles, and the date of service
How you bill
How auto repair shops bill
Shops bill labor either at an hourly rate times the hours actually spent, or at flat-rate hours from a guide that lists the standard time for each job. Flat rate is predictable for customers, and the time shown on the invoice is the guide time, not the clock. Parts are sold at a markup over cost, with the markup often sliding by price.
Estimates come first. Many states require a written estimate or customer authorization before work above a set amount, and a signed estimate gives you proof when the customer approves extra repairs mid-job. Add shop supplies and disposal as small fixed lines rather than hiding them in labor, because customers will notice the difference.
Get paid faster
Tips to get paid faster
- Write the mileage in and out on the invoice. It protects you from warranty disputes and mileage questions later.
- Get approval for any extra work by text or signature, and mention the approval on the invoice.
- Keep a list of parts and their warranty lengths. Printing the warranty on the invoice reduces calls and builds trust.
- Release the car on payment. Take card or send a payment link before the keys change hands, see online payments.
- For fleet and repeat customers on account, invoice monthly with each vehicle's work on a separate line group and chase late payments with a reminder.
Watch out
Common invoice mistakes
- Billing work that was not authorized in the estimate
- Leaving out the VIN or mileage, which are the first fields anyone checks
- Hiding shop fees inside labor, which looks like padding when the customer spots them

FAQ
Questions
What should an auto repair invoice include?
Shop details, the customer, vehicle year, make, model, VIN and mileage, the work performed, parts with prices, labor hours and rate, fees, tax, warranty, total and payment method.
Do I need a written estimate first?
Many states require one or require customer authorization for work above a set amount. Check your state's rules, and keep the approval with the invoice.
What is flat-rate labor?
Flat-rate labor uses standard job times from a guide, so a brake job always bills the same hours regardless of how long the technician took.
Is this auto repair template free?
