How you bill
How moving companies bill
Local moves are billed by the hour, with a crew size and a truck included in a single rate. There is usually a two or three hour minimum and a travel charge that covers the time getting to the first stop and back from the last. Long-distance moves are priced by weight and mileage, and need a written estimate and bill of lading, which this invoice does not replace.
Extras change the bill, so list them: stairs, long carries from the truck, pianos and other heavy items, packing materials. A deposit is common on bookings, especially on busy dates at month end. Write down valuation coverage on the invoice, since it affects what the customer can claim if something is damaged.

Tips to get paid faster
- Record start and end times at the door and put them on the invoice. Hours are the number customers question most.
- State the minimum hours and travel time in your quote, then repeat them on the invoice with the exact figures.
- Take a deposit on bookings, particularly end-of-month dates, so a no-show costs the customer rather than your crew.
- Hand the invoice over before the crew leaves and take payment then. After a move, customers are busy and unpacking, and invoices drift.
- Offer payment by card or bank transfer using a link on the invoice, see online payments.
Watch out
Common invoice mistakes
- Quoting a number of hours and then billing for travel and stairs the customer never heard about
- Not writing the valuation coverage on the paperwork
- Forgetting to credit the deposit already paid, which leads to a double charge complaint
