Free DJ invoice template

A DJ invoice is mostly a performance fee plus the things that make the night work: sound, lighting, a second speaker for the cocktail hour and overtime if the party runs late. The template below bills a wedding with those items, so you can reshape it for a birthday, a club night or a corporate event.

    How you bill

    How DJs bill

Events are sold as packages with a set number of hours: a typical reception is four or five hours. The package fee covers the DJ, the standard sound system and setup. Ceremony audio, uplighting, additional speakers and special effects are add-ons. Overtime is billed by the half hour at a set rate, so everyone knows what a late night costs.

A non-refundable deposit of 25 to 50 percent secures the date, because a Saturday that gets cancelled is a Saturday you may not fill. The balance is due on or before the event. A signed estimate with the package, hours and add-ons makes the final invoice a simple update. Corporate clients may need an invoice before the event, so they can pay it through their finance team.

    Get paid faster

    Tips to get paid faster

    1. Make the deposit non-refundable and say so in writing. It protects dates that you could have sold twice.
    2. Write the booked hours on the invoice and the overtime rate. A set price makes it easy to say yes to the dance floor on the night.
    3. Collect the balance before the event or at setup, not afterwards. Night-of payments are easy to forget in the excitement.
    4. Itemize add-ons so the client can see what they chose and what they skipped.
    5. Send corporate clients the invoice two weeks ahead, as their payment runs can take a while. A payment reminder helps.

    Watch out

    Common invoice mistakes

    • Not stating overtime rates, then negotiating a price in the middle of the party
    • Collecting no deposit and losing a date to a late cancellation
    • Omitting travel costs on out-of-town gigs

    FAQ

    Questions

What should a DJ invoice include?

Your details, the client, event type, date, venue and hours, the performance fee, equipment add-ons, overtime, travel, deposit paid, the balance due and your cancellation terms.

    Should I charge a deposit?

Yes. A non-refundable deposit at booking holds the date and covers your loss if the event is cancelled.

    How should I bill overtime?

Set a rate per half hour in your contract and state it on the invoice. After the event, add the actual extra time as a line.

Is this DJ invoice template free?

Yes. Fill it in online and download the PDF. No account is needed.
