Free videography invoice template
Video projects have a long list of costs, and most of them happen after the shoot: editing, color, sound, graphics and the revision rounds. An invoice that shows only a day rate undersells the work. The template below spreads a short brand video across pre-production, the shoot and post-production.

What goes on it
What to put on an invoice for videographers
- A project description with the length of the final video and the formats delivered
- Pre-production time: concept, scripting, location scouting, casting
- The shoot fee, per day or half day, with the crew and gear included
- Post-production: editing, color grading, sound mixing, graphics, subtitles
- Licensed music, stock footage, voice-over and any other paid third-party assets
- The number of revision rounds included and the price of extra rounds
- Usage rights, deposit paid, balance due and the delivery date
How you bill
How videographers bill
Commercial video is normally bid as a fixed project fee, which you build up from pre-production, shoot days and post-production hours. Corporate, event and wedding work often follows a package model. Show the pieces on the invoice, even if the contract was a single number, because it explains why a one-minute video costs more than a day of filming.
Revisions are the usual budget leak. State how many rounds are included and bill extras at your editing rate. A deposit of 30 to 50 percent at booking and the balance at delivery is standard, and some videographers hold the final files until the invoice is paid. A signed estimate covers the scope before work starts.
Get paid faster
Tips to get paid faster
- Put the included revision rounds in writing on the invoice. It sets a clear boundary for the extra work that follows.
- Bill third-party costs, like licensed music and stock clips, as their own lines at cost.
- Deliver the final files after payment, and share a watermarked preview in the meantime.
- Break out each deliverable, such as a vertical cut for social. It is easier to add or remove a version.
- Invoice on the day of delivery and add a payment link. See online payments for taking card or transfer.
Watch out
Common invoice mistakes
- Quoting a shoot day and then spending twice as many hours editing, with nothing in the contract to cover it
- Giving unlimited revisions because it seemed easier at the time
- Leaving out the licensed music, then paying for it from the project margin

Should I charge per hour or per project?
Per project is common for commercial work, built from a breakdown. Hourly suits editing add-ons and revisions beyond what is included.
How do I handle revisions?
Include a set number in the price, state it on the invoice, and bill extra rounds at an hourly editing rate.
