Free flooring invoice template

Flooring is priced by the square foot, and that is how the invoice should read: the material, the installation, the underlayment, the old floor removal and the transitions. The template below shows a plank floor in a living space with those lines, ready for your own square footage and rates.

    What goes on it

What to put on an invoice for flooring installers

    • The job address and the rooms covered, with the measured square footage
    • The flooring material, its brand or line and the amount ordered including a waste allowance
    • Installation labor per square foot, or per room for small areas
    • Removal and disposal of the old floor, and any subfloor prep or leveling
    • Underlayment, adhesive, transitions, baseboards and quarter round
    • Furniture moving if you offer it, listed as its own line
    • The deposit paid, balance due and any care instructions for the first days

    How you bill

    How flooring installers bill

Almost everything is priced per square foot: one rate for the material, one for installation. Installing tile and hardwood costs more than laminate or vinyl, so the labor rate depends on the product. Add 5 to 10 percent for waste on straight layouts and more for diagonals or patterns, and bill the material as purchased.

Removal, subfloor repair and leveling are the hidden extras that change the cost, so list them separately. A deposit that covers the material is standard, because flooring is ordered to measure and cannot be returned once cut. The balance is due on completion. Quoting first with an estimate lets the client approve the square footage and the products.

    Get paid faster

    Tips to get paid faster

    1. Measure twice and put the final square footage on the invoice. It is the number the client will check first.
    2. Show waste as part of the material quantity, so the customer understands why you bought more than the room size.
    3. Price subfloor repair per square foot or per hour with a cap, and flag it before you do it.
    4. Take the deposit before ordering. Special-order flooring cannot be returned after it is cut.
    5. Invoice the day you finish and mention the care instructions. A happy client pays faster, and a card payment link makes it quick, see online payments.

    Watch out

    Common invoice mistakes

    • Forgetting to bill for removal of the old floor, which can take a day of work
    • Giving a labor rate that ignores stairs, patterns and tricky cuts
    • Not writing the acclimation and care instructions on the paperwork

    FAQ

How do I price flooring installation?

Quote a price per square foot for the material and another for installation, then add removal, prep and trim. Show each as a line on the invoice.

How much waste should I add?
