Free invoice template
Free graphic design invoice template
A designer's invoice should look as considered as the work it bills for. It also has to show the scope: concept rounds, revisions, the file formats and the rights the client receives. The template below shows a small brand identity project with those lines, ready for your own scope.

What goes on it
What to put on an invoice for graphic designers
- A short project name and the deliverables: logo, brand guide, packaging, social templates
- The stages billed: discovery, concepts, revisions and final delivery
- The number of concepts and revision rounds included, and the price of extra rounds
- The file formats delivered, such as vector files, PNG and a PDF guide
- Rights and usage: when ownership or the licence passes to the client
- Third-party costs: fonts, stock images, printing, passed on at cost
- Deposit received, balance due and the due date
How you bill
How graphic designers bill
Designers usually price by the project, based on the value of the work and the scope: how many concepts, how many revisions, what the client does with the result. Hourly billing is used for retainers, small tweaks and revisions beyond the agreed rounds. Day rates suit work in a client's studio.
The invoice should mirror the proposal. List each deliverable with its price, name the revision rounds included, and bill any extras as separate lines. Payment in two parts, with half upfront and half on delivery, is common, and for bigger projects you can add a mid-project milestone. A signed estimate keeps the scope clear before the first sketch.

Tips to get paid faster
- Take the deposit before you start. It filters out clients who are not committed and covers your time if they disappear.
- Hold the final files back until the balance is paid, and send low-resolution previews in the meantime.
- Put rights and ownership on the invoice. State when the transfer happens, usually on full payment.
- Bill extra revisions in hours with your rate. A clear price per round stops endless tweaking.
- Send a polite payment reminder a few days before the due date. Clients often just forget.
Watch out
Common invoice mistakes
- Not limiting revisions, then redesigning the logo five times for the same fee
- Handing over source files before payment
- Leaving out third-party costs like fonts and stock, which you then pay yourself

FAQ
Questions
What should a graphic design invoice include?
Your details, the client, the project, each deliverable with its price, revision terms, the files delivered, rights and usage, third-party costs, deposit received, total and due date.
Should designers charge hourly or by project?
Project pricing rewards you for efficiency and is easier for clients to budget. Hourly rates work for small tweaks and extra revisions.
When does the client own the design?
That is set by your contract. Many designers transfer rights on full payment, and the invoice is a good place to restate it.
Is this graphic design invoice template free?
Yes. Fill it in and save the PDF. No account is needed.
