Free invoice template

Free landscaping invoice template

Landscaping projects mix design time, plants, bulk materials like mulch and stone, and days of crew labor. The template below lays those out as separate lines for a typical backyard refresh, so you can replace them with your own project and prices.

Fill it in on this page and save the PDF, no account and nothing sent to a server. If you mow and trim on a weekly route rather than building projects, take a look at the lawn care invoice template instead.

    What goes on it

What to put on an invoice for landscapers

    • The project address and a short description of the scope, such as new beds, sod, a patio or irrigation
    • Design or consultation time as its own line, so it is not hidden in the materials
    • Plants by type and size (for example 3 gallon shrubs), with quantity and unit price
    • Bulk materials like mulch, soil, gravel and pavers by unit, such as cubic yards or tons
    • Crew labor with hours and rate, plus equipment and disposal fees
    • Deposits received and the balance due
    • Your plant guarantee terms and any care instructions that affect it

    How you bill

    How landscapers bill

Design-and-build projects are normally priced as a fixed bid, then invoiced in stages: a deposit to order plants and materials, a progress payment when the hardscape is done and the balance when the planting is finished. Smaller jobs, such as a cleanup or a mulch refresh, are often billed on time and materials with a crew hourly rate.

Plants and bulk materials are usually marked up above what you pay, to cover sourcing, delivery and the risk of losing a plant. Quote delivery and disposal clearly, because a load of soil and a dumpster of debris are easy to forget and expensive to absorb. Seasonal contracts for maintenance can be billed monthly with recurring invoices.

    Get paid faster

    Tips to get paid faster

    1. Take a deposit before you order plants. Nursery stock is a real cost, and you cannot return a half-planted bed.
    2. State the plant guarantee period on the invoice. A 30 day guarantee tied to watering sets clear expectations.
    3. Invoice by stage on large projects instead of at the very end, so a long job does not leave you carrying the cost.
    4. Photograph the finished work and send it with the invoice. A happy customer pays faster and refers neighbors.
    5. Offer card payment so the client can settle the balance on the spot. See online payments.

    Watch out

    Common invoice mistakes

    • Lumping "plants and materials" together, leaving no way to explain why the total grew
    • Forgetting delivery and disposal, which can eat the margin on a big mulch or soil job
    • Not saying when the deposit was received on the final invoice

    FAQ

    Questions

What should a landscaping invoice include?

Business details, client and project address, a scope summary, design time, plants and materials with quantity and unit price, crew labor, equipment and disposal, deposits received, tax if it applies, total and payment terms.

How do I price mulch and soil on an invoice?

Bill them by the unit you buy, usually cubic yards, with delivery included in the price or as its own line. Customers can then check the quantity against the size of the bed.

Can I bill a seasonal contract?

You can invoice each month by changing the date and number in this tool. The Jiffy app can repeat the same invoice on a schedule if you do this often.
