Free invoice template

Free pool service invoice template

Pool service is a subscription of sorts: the same customer, the same weekly visit, and a few extras when something breaks. The invoice has to be quick to repeat, but still show chemicals and repairs separately so a customer understands a bill that is higher than usual. The template below does that for one month of service.

Edit the example, save the PDF from this page and send it. No account, and your data stays in your browser. If you run a route, the notes on recurring billing below will save you hours each month.

    What goes on it

What to put on an invoice for pool service companies

    • The pool address and the month or the dates of the visits billed
    • Weekly or bi-weekly service as a per-visit price, with the number of visits
    • Chemicals as a separate line, or included in the service price and noted as such
    • One-off work: filter cleaning, equipment repair, opening and closing the pool for the season
    • Parts you replaced, such as baskets, cartridges, o-rings and pump seals
    • Test readings or a note that water was balanced at every visit, if you record it
    • Due date, payment method and how to reach you for emergencies

    How you bill

    How pool service companies bill

Routine service is billed as a flat monthly or per-visit price based on the pool size, equipment and how often you come. Some companies include chemicals in the price, others bill them at cost or as a fixed monthly add-on. Pick one approach and show it clearly so customers can compare it with another quote.

Seasonal openings and closings, green-pool cleanups, filter work and equipment repair are one-off charges, listed on top of the routine. Repair parts are billed with a markup. Because the routine invoice repeats, recurring invoices can create it each month, and you only edit when something extra happened.

    Get paid faster

    Tips to get paid faster

    1. Bill on the first of the month for the coming month. Service customers expect to pay for a route, not for each visit.
    2. Keep chemicals on a separate line even when they are included, so a customer sees the value when prices rise.
    3. Photograph the pool after a green-to-clear cleanup and send it with the invoice.
    4. For repairs over a set amount, text a quote first and get a yes. It avoids disputes on the bill.
    5. Put a payment link on every invoice and use payment reminders, so you do not chase small amounts across dozens of customers.

    Watch out

    Common invoice mistakes

    • Raising chemical prices without telling customers, then facing questions when the bill jumps
    • Billing a repair with no description beyond "parts"
    • Sending routine invoices irregularly, which makes customers forget to pay

    FAQ

    Questions

What should a pool service invoice include?

Business details, the customer and pool address, the month or visit dates, service price per visit, chemicals, any parts or repairs, total, due date and payment method.

Should chemicals be on the invoice?

Show them either as a separate line or note that they are included. A separate line helps customers see where cost changes come from.

How do I invoice a pool route every month?

Reuse the same invoice and update the month. The Jiffy app can repeat it automatically for every customer.

Is this pool service template free?
