Free invoice template

Free massage therapy invoice template

A massage therapy invoice often doubles as a receipt for the client's insurance or health spending account. That means it should state who you are, what treatment was given, for how long and on what date. The template below bills a client for a deep tissue session, an add-on and a gift certificate redeemed.

Fill it in with your own services and save the PDF from this page. No account, and nothing leaves your browser. Run a clinic with several therapists? The notes below also fit a group practice.

    • The type of treatment, such as deep tissue, sports or prenatal massage
    • Add-ons priced separately: hot stones, cupping, aromatherapy

    • A statement of payment, whether paid in full, or the balance due
    • Your cancellation policy for late changes

    How you bill

    How massage therapists bill

Sessions are priced by length: 30, 60, 90 or 120 minutes, with a higher price for specialty work such as deep tissue, sports massage or prenatal. Add-ons like hot stones or cupping are priced separately so clients can mix and match. Memberships and packages, such as a monthly 60-minute session at a reduced rate, build loyalty and steady income.

Because many clients pay at the table, the invoice is often a receipt: it shows the treatment, the amount and "paid in full". Others, such as corporate wellness days or insurance-based treatments, need an invoice before payment. For monthly memberships, recurring invoices create the bill on the same day each month.

    Get paid faster

    Tips to get paid faster

    1. Add your license number on every invoice or receipt. It is often required for insurance and health account reimbursement.
    2. State the session length and type clearly. It is the main thing an insurer or employer wants to see.
    3. Apply gift certificates and package credits as visible lines. It shows the client what they used.
    4. Give a clear cancellation policy, with notice period and fee, and repeat it on the invoice.
    5. For corporate wellness events, invoice in advance with the date, the number of sessions and a payment link. See online payments.

    Watch out

    Common invoice mistakes

    • Leaving out the license number, which can make a receipt unusable for reimbursement
    • Issuing a vague receipt that says "massage" with no length or type
    • Not writing down a membership's terms, so clients assume sessions never expire
