Free personal training invoice template

Personal trainers sell time in packages and plans: ten sessions, a monthly programme, a few check-ins. The invoice should state what the client paid for, how many sessions are left and when the pack expires. The template below bills a client for a session pack, a nutrition plan and a body composition check.

Fill it in with your own offer and save the PDF from this page. No account, and nothing is sent anywhere. Teaching group classes? The pricing section below explains how to bill them.

    • Add-ons: nutrition coaching, assessments, programme design, online check-ins

    • Your cancellation and rescheduling terms
    • Payment method, a due date and, if relevant, the gym or studio fee

    How you bill

    How personal trainers bill

Single sessions are billed per hour, but most trainers sell packs of five or ten sessions at a lower price per session, or a monthly package of weekly sessions. Packs are paid in advance. They improve your cash flow and the client's commitment. Coaching programmes, such as nutrition and remote check-ins, are billed monthly.

Make the terms plain: when a pack expires, how to cancel and what counts as a used session. Independent trainers working in a gym may also pay a rent or floor fee, which is a business cost, not a line on the client's invoice. Monthly clients are a natural fit for recurring invoices, which send the same invoice on the same day.

    Get paid faster

    Tips to get paid faster

    1. Collect payment before the first session of a pack. A client who has paid in advance shows up.
    2. Print the expiry date for the pack on the invoice, so there is no argument about unused sessions.
    3. Use a negative line for a pack discount, so the client sees the saving as well as the total.
    4. Bill monthly programmes on a set date and use a payment reminder for the ones who forget.
    5. Offer card payment via a link. See online payments; it is quicker than a bank transfer for most clients.

    Watch out

    Common invoice mistakes

    • Selling packs with no expiry, which leaves you with unlimited, unpaid-for liability
    • Unclear cancellation terms, so a no-show is a fight rather than a policy
    • Billing after the month has finished, when the client is less motivated to pay

    FAQ

    Questions

What should a personal training invoice include?

Your details, the client, the programme or period, the number and length of sessions, price per session or pack, add-ons, discounts, expiry, cancellation terms, total and payment method.

How do I bill a session pack?

Add one line with the number of sessions as the quantity and the per-session price. Show a discount as a negative line, and note the expiry date.

    Should I charge in advance?

Yes, for packs and monthly plans. It secures the booking, improves your cash flow and reduces no-shows.

Is this personal training invoice template free?

Yes. Fill it in and save the PDF. No account is needed.
